Annual Meeting Wednesday, May 9, 2012
The 2012 annual meeting will be held on May 9th at the Mathematical Association's Carriage House across the alley from Dupont East. There will be one seat up for election to the Board for a three year term. Steve Lake currently holds that seat and has announced that he is running for re-election to the Board.
First notices about the annual meeting will be mailed out on April 10th. This notice will contain the announcement, the agenda for the meeting, an information sheet explaining how to complete the proxy form, the proxy form, and information about how to enter to win the raffle.
You can win the raffle by attending the annual meeting in person or by proxy. There will be only one winner and the prize is a 75 percent credit on your condo fee for the month of June if there are more than 50 percent attendance either in person or by proxy. There is a 100 percent credit for the month of June if the attendance is more than 60 percent. But you need to attend or submit your proxy in order to win.
The second announcement will be mailed out on April 30th. It will contain the same information as the first announcement but will also contain the bios of anyone that has announced their candidacy for the open seat. In order for your bio or announcement to be included in the April 30th mailing, your announcement and or bio must be submitted to the Secretary of the Board by 5 PM on Friday, April 27th. Any announcement or bios submitted after April 27th and two days before the annual meeting will be distributed at the annual meeting.
If you do not plan to attend the annual meeting or are not sure you will be able to attend, please return your proxy marked at a minimum for quorum purposes only, or after receiving the secong mailing for the candidate of your choice. You can always revoke your proxy by submitting another proxy or by attending the meeting.
Building Updates
Chiller Replacement: At the beginning of the air conditioning season last summer, we learned that the control board for the chiller was outdated when a part of the board failed on start up of the chiller. The control board is no longer maintained by the manufacturer and the replacement board is very expensive. In addition, there were problems with the chiller recovering load when the temperatures fell. In view of the extra maintenance costs for keeping the chiller running, the board asked for a review of costs for a new chiller. In addition, the Board authorized a load study for determining the correct size of a new chiller given the installation of the new windows. After the completion of the load study and a review of competitive bids for a new chiller, the Board decided to purchase a McQuay chiller that is more efficient and quieter and should provide a significant savings in electric costs while providing a more reliable system requiring less extra maintenance costs over the life time of the chiller.
As a part of the installation of the new chiller, the KPS system which adjusts the heating and cooling water in relation to the outside air temperature will be replaced with a newer version that will allow for better monitoring of existing systems and add some systems along with being able to remotely adjust some of the mechanicals in the boiler room.
Hot Water Storage Tank Replacement: In early March there was a failure with the hot water storage which has been on the needs replacement list for several years. Temporary repairs were made to the tank and the Board has authorized the replacement of the hot water storage tank. This will be done upon completion of the installation of the new chiller. |
